Dear Club Convenors,
Please find attached the official letter of invitation for the HKHAWS 2021/22 Winter League together with the checklist.
1. Season Calendar
Target Start Date: The target start date for the Winter League is Saturday 11 September 2021.
No Play Dates: Please note that given the ongoing uncertainty we will not be able to accommodate requests for no play dates. However, we have set out below the anticipated calendar:
Season Dates
- Preseason Warm-up Matches: Saturday 4 September 2021
- Season and League start: Saturday 11 September 2021
- Season end (i.e. knock out finals): Mid/end May 2022
There will be no hockey during the following dates:
- Christmas break: 19 December 2021 – 3 January 2021
- Chinese new year: 30 January 2022 – 6 February 2022
- Easter: 15 April 2022 – 19 April 2022
2. Registration of Teams & Payment of Fees – Online Form
On or before Friday, 20 August 2021 please complete the online club registration form https://forms.gle/zgmw6a3jk6Enh2fM7 and send an email to nicolechan@hockey.org.hk with the following:
- Evidence of payments as stipulated in the form to join the league; and
- Kit designs if your club is new or has changed its kit design since the 2020/21 season - the designs and colours of the 2 sets of playing uniform (including socks, skirts/skorts and shirts). Shirts must be numbered. Each player must have a unique shirt number within a club.
Fees
Fees are set at the same amount as the 2019/20 season.
(A) League Fee (Team Registration Fee) $750 (per team)
(B) Administration Fees
(i) Annual Affiliation Fee $750 (per club)
(ii) Administration Fee $11,000 (per team)
Timing of Payments
Clubs will be allowed to make the fee payments in two instalments as described below.
1st Instalment (Non-refundable) – To be paid before 5pm Friday 20 August 2021 will be as follows: (A) 100% League Fee (Team Registration Fee) $750 (per team) (B) Administration Fees (i) 100% Club Affiliation Fee $750 (per club) PLUS (ii) 50% of Administration Fee $5,500 (per team) (A) and (B) must be made as two separate payments due to LCSD requirements. Please note that if a Club pays the above fees aggregated into a single payment, such payment will not be accepted by the HKHA. |
2nd Instalment (Non-refundable) – To be paid before 5pm Friday 19 November 2021 will be as follows: (A) 50% of Administration Fee $5,500 (per team) |
Details about the payment methods and calculations are included in the attached Invitation to Register. We hope that all of the above is clear, but if you have any questions, please do not hesitate to contact us.
3. Convenors’ Meeting
Convenors’ Meeting: please note that a Club Convenors’ meeting will be held on Thursday, 26 August 2021 at 7:30pm at King’s Park. It is important that you (or a representative) attend this meeting. Details on the format of the meeting will be sent under separate cover together with the Convenors’ & Captains Notes.
4. Player Registrations
Returning Players: Club convenors must ensure for their records that the email address provided for each currently registered player is correct and valid.
To ensure that details of registered players could be recorded and shown correctly on their respective team lists in time, please upload all player details and related documents (including photos) onto the HKHAWS player database before 5pm on Wednesday 25 August 2021.
New players: new players should use this link to submit their registration with affiliated clubs to enter into the women's winter league: http://www.hockey.org.hk/WomenRegistration.asp
Once the player submits the form, an email notification will be sent to the club convenor. The convenor must then log on to the system, check the details, assign the team and shirt number and submit the registration to the HKHA through the system.
New players aged below 18 years old: convenors must print out the completed registration form (a print button is provided for doing so) for the player's parent/guardian signature and then upload a copy of the signed form to the system.
If the club does not accept a new player’s registration, the convenor shall use the "reject" button to respond to the player.
Registration forms must be completed online by 5pm on Monday 23 August 2021.

Club convenors can generate player lists for distribution to their team captains as and when needed. (Office will no longer generate and send player lists to clubs). Club convenors are advised to generate updated lists for distribution to their team captains before their games.
Individual Player Declarations
Due to the Covid-19 situation, HKHA requires all players to complete a declaration form (Google Form) to confirm their consent for Participation in Hockey under Covid-19 Restriction. The submission of the completed Google Forms is MANDATORY for the player registration in 2021-22 season. We have created a dedicated Google Forms for each club (see separate PDF file and also refer to the Resources link below) so that you can copy and paste the link for sending to your players.
5. Preseason Hockey – 4 September 2021
Premier Preseason – A tournament will be held at King’s Park for all Saturday Premier Division teams – more details will be provided to Convenors under separate cover.
All Other Divisions – the HKHA is arranging one afternoon of pre-league preparation matches - please complete the attached form before 5pm Monday 16 August 2021 if you would like any teams in your club to partake in such matches. 6. Ongoing communication with HKHAWS
During these uncertain times we appreciate some teams may be experiencing difficulties either now or later in the season and we strongly encourage all clubs to maintain open communication with us about potential difficulties so they can be considered carefully by the Committee earlier on. For example, the minimum number of players that may be registered in a team is 15 players. Should you have any concerns about meeting this requirement please contact the HKHAWS by 2pm on Friday, 13 August 2021 so that the Committee may consider any potential dispensations on a case by case basis prior to the payment deadline.
